Administrative Assistant, Production / Distribution – The Chronicle Herald – Bedford

We are seeking a full-time Administrative Assistant to join our production plant team in Bedford.  Based in this state-of-the-art production facility, you will be responsible for providing clerical support to both our Production and Distribution Departments.  You will coordinate print and packaging projects, maintain spreadsheets, prepare reports, and perform administrative tasks for various departments as needed.  We’re looking for someone with a positive attitude, and the ability to work well in a fast-paced, deadline driven environment.

Essential duties and responsibilities of this position include but are not limited to:

General:

Perform data entry in a timely manner, while maintaining accuracy and attention to detail;
Respond to inquiries, photocopy documents, distribute mail/faxes, and perform filing;
Prepare communications to staff and business associates;
Order supplies, track inventory and produce period end reports;
Prepare/submit employee payroll information, monitor leave, and make pay adjustments;
Coordinate meetings, record minutes, transcribe and post as required;
Assist with record-keeping and administrative tasks related to the interview process;
Provide back up support during absences (vacations, sick leave, etc.);
Liaise with all departments for special projects and assist managers as required.

Production:

Create purchase orders, manage incoming invoices/contracts and prepare up-to-date reports;
Track production information and document production statistics;
Work with management to plan for press and inserting requirements, book press and/or inserting time for upcoming projects, and maintain production calendar schedules;
Compare the preprint schedule with booked press time, in order to identify discrepancies in advance.

Distribution:

Prepare/distribute sample delivery manifests, and letters to delivery contractors;
Print and disseminate weekly draw reports, truck manifests and draw comparisons for the various wrapper runs;
Distribute EMC trucking and products summary;
Run prep-press reports, alternate Herald product manifests and labels through Discus, and print appropriate documents.

The minimum qualifications for success in this position are:

Minimum 5 years’ experience in administration (production experience an asset);
High level of proficiency with Microsoft Office;
Typing speed of not less than 50 words per minute;
Training in Discus & Putty software, an asset;
Strong communication skills, including experience writing professional business correspondence;
Organized and detail-oriented, with high degree of initiative and confidentiality;
Ability to multitask, prioritize and problem-solve under minimum supervision;
Professional, approachable and capable of interacting effectively with diverse personalities.
