RESPONSIBILITIES
Project Planning:
Supports the definition/documentation of project scope, goals and deliverables that support business strategy.
Clearly communicates project expectations to team members and stakeholders in a timely fashion.
Plans and schedules project timelines and milestones using appropriate tools and in conjunction with agreed-upon deliverables, incorporating CRC specific project tasks, often collaborating with other members of the CRC team whom have interdependent projects/operations.
Tracks project milestones and deliverables.
Determines the frequency and content of project member status reports, analyzes results, and troubleshoots problem areas.
Communicates project success criteria and disseminates to stakeholder parties throughout project life cycle.
Supports the development of/updating of best practices and tools for project execution and management.
Identifies project risks and develops mitigation strategies
Project Resourcing:
Estimates the resources and participants needed to achieve project goals.
Leads the recruitment of volunteer resources for project(s).
Ensures the complete and effective onboarding of new volunteer team members to a project.
Supervises volunteer resources for the projects within scope of responsibility.
Coaches, motivates and guides project team members and influences them to take positive action and be accountable for their assigned work.
Delegates tasks and responsibilities to appropriate personnel
Identifies and resolves issues and conflicts within the project team or escalates as appropriate
Project Delivery:
Sets and continually manages project expectations with team members and other stakeholders.
Provides project management services for identified projects
Directs and manages project, collaborating with the project manager and CRC business leads
Tracks project milestones and deliverables.
Communicates project success criteria and disseminates to stakeholder parties throughout project life cycle.
Liaises with project stakeholders on an ongoing basis.
Works with the product vendors where applicable to communicate project requirements, review deliverables to ensure quality and completeness, provide instructions and feedback.
Work with business stakeholders to ensure their adequate participation in all phases of the project to ensure project success
Identifies and manages project dependencies and critical path.
Develops and delivers progress reports, Decision Papers, Change Requests and presentations.
Proactively manages project scope, identifies scope changes and potential impact on budget, schedule assessing options and making recommendations to the teams involved for decision making.
Builds, develops, and grows business relationships vital to the success of the project.
Works within the mandate of the People Services Department, in partnership with other support services and takes on relevant responsibilities as assigned.
Prepares project documentation, reports and ensures that all required project artefacts are developed and maintained in the appropriate project documentation repository.
Work as a subject matter expert to support all phases of application development life cycle. Delivers and/or participates in workshops, training sessions, presentations and meetings
Conducts project post mortems and creates Lessons Learned/Project Close report to identify project practice successes and areas for improvement
Disaster/Emergency Response:
In times of active disaster, may be called upon to fill roles within the people services emergency response structure, and may require deployment away from home for periods of several weeks
Ensures own understanding and familiarity with emergency response systems, structures and tools
Supports the recruitment and engagement of a pool of people services volunteers
Specific duties and responsibilities in this job description will require adaptation as lessons are learned and priorities change. All members of the People Services team are expected to demonstrate flexibility, adaptability and change leadership to support the success of the People Services team and the Canadian Red Cross as a whole.
QUALIFICATIONS
The incumbent must have the commitment to the Fundamental Principles of the Red Cross Movement and model the core competencies of the CRCS: team excellence, service excellence, accountability and results focused
Education & Certification
University Degree or equivalent in project management
PMI or Prince 2 certification is an asset
Knowledge & Experience
At least 1 year of project coordination experience preferred
Competent and proficient understanding of ERP platforms and internet technologies such as Microsoft SharePoint
Experience working with virtual teams an asset
Experience supporting/supervising paid or un-paid resources in a project management context
Competent understanding of database structure and administration
Fluency in French is a strong asset
Domestic Canadian Red Cross experience is an asset
