Prize Coordinator – Greater Victoria Bike to Work Society – Victoria, British Columbia

The Greater Victoria Bike to Work Society (GVBTWS) is looking for a dynamic, creative and versatile person to join our team to help organize the 22nd annual Bike to Work Week. The Prize Coordinator position offers the opportunity to work on a highly successful and growing community event.

The successful applicant will be required to:

Assist Executive Director and Event Coordinator with drafting sponsorship related documents

    Online Auction
Develop potential sponsor list for Online Auction
Contact Auction sponsors regarding donation specifics
Contact new/potential sponsors
Confirm all donations by March 31stCollect items (certificates are preferred). Package into bundles where necessary
Post items to auction website

    Bike to Work Week
Assist with set-up, running and take-down of April Launch
Contact previous BTWW prize sponsors from 2015 list.
Create list of potential new prize sponsors and contacts.
Reach out to identified ‘new’ sponsors
Keep record of contacts and responses.
Work with Event coordinator and ED to determine Celebration Station allocations
Create and maintain record of BTWW prize sponsors, level and value of sponsorship, and itemize prizes. Create and maintain prize list for draws including passport and celebration station draws
Maintain and update prize sponsor logo and prize listing on website
Create certificates for prize sponsors, where necessary
Create and publish prize winners
Assist with set-up, running and takedown of Celebration Stations
Contact prize winners by email/phone
Create and send out sponsor thank you cards
Write final report

Other related duties as necessary

Qualifications:

Able to work independently and follow through on deliverables with minimal direction
Strong ability to remain focused on task – while juggling multiple tasks at once
Strong writing, presentation and interpersonal communication skills
Able to prioritize and organize projects effectively
Excellent Computer skills- Microsoft Office, Social Media Tools
Must have flexibility with hours of work

This is a part-time temporary position. Starting date TBD (most likely mid – late Feb)

Prize coordinator will report to the Event Coordinator of GVBTWS.

Hours: 15 hrs/ per week. Some evening hours required. Hours will be variable during the week of the event

(May 30 – June 5, 2016).

Wage is $14.00 per hour.
