ABOUT THE POSITION
The Philanthropy Assistant will report to and work very closely through a mentoring relationship with the Philanthropy Manager to advance the fundraising efforts of OBC’s Corporate and Foundation Giving portfolio, as well as OBC’s Individual Giving portfolio. They will contribute through completing administrative duties, support for stewardship report writing and support for research and grant writing for Corporate and Foundation funders, and campaign planning for Individual Giving donors. They will also contribute through other departmental support as needed
DUTIES AND RESPONSIBILITIES
Administrative Duties
Contribute to maintaining and updating our Salesforce donor database through data entry, cleaning, and reporting.
Contribute to the general administrative running of the fundraising team, including maintaining systems and processes, including organizing departmental documents and assets in Google Drive.
Support for Grant Research and Writing
Perform prospect research on foundations and corporations to evaluate prospects for grants, using for-fee databases and internet searches.
Conduct data entry into Salesforce to track current and future granting opportunities and ensure that past grants are tracked in the database.
Maintain current records in Salesforce reflecting grant writing activities.
Support for Stewardship Report Writing
Create a tracking sheet for all reports due to donors with associated deadlines and all relevant information
Gather photographs and other assets necessary for stewardship reports
Work with other departments to track and collect data needed for stewardship reports
Support with Individual Giving Campaign Planning
Perform an analysis of previous campaign results and highlight findings
Collect assets and stories for upcoming giving campaign
Help prepare lists for upcoming giving campaign
Update and maintain current Individual Giving donor records in Salesforce
Other Departmental Support
Provide support as needed for event planning
Provide support as needed for Major Gifts portfolio
Provide support as needed for other departments that support our work in the fundraising department
SKILLS AND EXPERIENCE DESIRED
A relevant university degree in philanthropy, marketing and/or communications or related field from a recognized post-secondary institution.
Desire to learn about the non-profit or charitable sector.
Experience in an administrative position, preferably in a not-for-profit development office.
Experience in an administrative function, including record keeping.
Strong working knowledge of donor database (Salesforce in particular) an asset.
Design experience in Adobe an asset.
Exceptional interpersonal and communication skills.
Excellent writing, editing and grammar skills and the ability to prepare various documents for different audiences.
Excellent proficiency in Microsoft Office Suite software.
Demonstrated abilities to work independently and as a team player and to facilitate and mobilize support.
Resourcefulness, initiative and flexibility.
Ability to develop a plan of action and meet deadlines.
