The office manager is the central touchpoint of our operation. They…
coordinate and organize communication with clients, owners, management, and staff.
respond to all client communication in a timely manner (within office hours).
perform client outreach to communicate work schedules and follow up on payments, permits, customer satisfaction, etc.
schedule all quotes, crews, and administrative-related management tasks and adjust the schedule as the work develops.
maintain meticulous employee records including benefits, payroll, time off requests, performance reviews, etc.
perform HR tasks including talent recruitment, applicant screening, and on-boarding.
compile reports based on various performance metrics.
manage basic Quickbooks input.
monitor invoice balances, track payments, and follow up on outstanding balances.
order all necessary supplies.
maintain/update the website/social media (eg. Holiday closures etc) with the potential to expand into content management.
develop and expand a tree industry knowledge base to allow for efficient communication with management, clients, and vendors.
innovate to improve and streamline operations processes.
take on additional tasks in keeping with the growth of the business and its requirements.
Required Skills
Personable, conscientious, and people-focused.
Strong time management, ability to multi-task, and extreme attention to detail.
Exceptional communication skills in person and across all digital platforms.
Experience with Quickbooks, scheduling software (Jobber).
Experience in HR, including all employment and safety standards, payroll and benefits management, etc.
Proven track record of coordination, execution, and management of operations/administrative processes (minimum one year).
Proven track record of taking on the responsibility of running an office.
Preferred Skills
Experience with an arborist, landscape, or construction company preferred.
Experience with social media content management preferred.
Experience with sourcing small business grants preferred.
