Office Manager – Fredericton – Cox & Palmer – Fredericton NB

Our Fredericton Office has an immediate opening for an Office Manager. This position is permanent, full-time reporting to the Chief Operating Officer (COO) and oversees 20+ staff. Main responsibility is to provide support and guidance to lawyers, management and staff.

MAIN RESPONSIBILITIES
Oversees 20+ direct reports (support staff). Provides guidance to lawyers and members of management.
Human Resources: Staff relations, oversees schedules/hours, monitors overtime, attendance and leaves of absence.
Recruitment: Responsible for the on-boarding and orientation of office staff.
Payroll/Benefit Set-up: Banking information, TD1 forms, emergency contact information, group benefit and pension enrollments and terminations. Administers renewals of benefit plans.
Performance Management: Responsible to manage and act as liaison between staff and lawyers on performance issues. Conducts annual performance reviews for staff.
Facilities Management: Responsible to liaise with the building property manager for the maintenance of offices such as painting, repairs and renovations. Plans and manages logistics of internal office moves. Manages and updates floor maps according to staff resource ratio. Determines office and workstation allocation. Provides parking assignments. Approves service invoices.
Other General Duties: Oversees reception, records management and office supply functions. Other duties or special projects as assigned by the COO.

SKILLS AND QUALIFICATIONS
2 – 5 years experience in a professional service environment;
2 – 5 years experience in a supervisory role; Completion of Post- Secondary Education; Human Resource Management an asset;
Excellent proficiency in English, verbal & written communication (French an asset);
Team oriented and upholds a high level of professionalism and confidentiality;
Exceptional interpersonal skills; relationship builder; friendly demeanor;
Ability to take initiative and problem solve; (proactive)
Ability to work independently with minimal supervision;
Ability to multi-task and prioritize in a fast-paced environment;
Excellent organizational skills along with strong attention to detail;
