Office Manager – Erthos Inc. – Toronto

About the office manager role
Reporting into the Head of Finance & People, we’re seeking an Office Manager to join our team. In this role, you will be working closely with members of the leadership team each day to ensure smooth office operations that will help us achieve new levels of growth and success at erthos. As an ideal candidate, you have proven experience in a highly dynamic and/or start-up setting. Your diligence, communication and organizational skills are second to none and you enjoy balancing a wide variety of tasks that contribute to the success of the team.

In this position you will play an important role in the following key areas:
Office Operations
Maintain great relationships with guests, contractors and facility service providers while enforcing visitor procedures.
Source and purchase raw materials and supplies for R&D projects and general operations.
Manage inbound/outbound mail and parcel shipping to ensure distribution needs are met.
Maintain and replenish stock of office and kitchen supplies, running errands as needed, and proactively planning for the changing needs of our growing team.
Assist with day-to-day vendor management and payment processing.
Create monthly and ad-hoc reports for internal and external stakeholders.
Team Support & Culture
Communicate with every department regularly to handle problems, identify new opportunities for efficiency and build trust and transparency.
Constantly work to create the most magnetic and inclusive work environment that attracts and retains great team members.
Assist the CEO with scheduling, preparing agendas and other administrative tasks.
Arrange and book travel for team members in a timely and cost effective manner.
Support health and safety efforts by coordinating training programs and maintaining records.
Support with HRIS management, candidate screening and team surveys.
Organize team socials and events to strengthen bonds and engagement.

About you
First things first, let’s make sure you check off some of the basics…
Post secondary degree or diploma is required.
2+ years experience in a similar role or working environment is required.
Excellent interpersonal and communication skills. You have a gift for being able to communicate complex issues to diverse audiences.
Strong analytical skills. You love working through complex tasks with multiple stakeholders and sources of information to deliver results.
Outstanding organizational skills with a strong attention to detail. You have a task management system that you check daily. You build and plan agendas for meetings.
Self motivated and can work both collaboratively and independently. Once given a task you see it through to completion, seeking out assistance when required and leveraging all resources at your disposal.
