Your Role
Reporting to the Director of Legislative Services, you will provide senior specialized administrative support to the Director of Legislative Services, and to various standing and select Committees of the Board of Directors. You will prepare electronic Committee agendas, compile supporting information, record and transcribe minutes, and follow-up on actions and recommendations arising from meetings. You will prepare routine correspondence, reports, bylaws, and contracts, complete research, develop recommendations for projects, and carry out the annual recruitment process for Service Committees. You will also process Freedom of Information requests, assist with Local Government Elections and Other Voting, support the records management system, and carry out other duties as assigned. As the primary back-up to the Executive Assistant, you will attend, record, and transcribe minutes at Board of Directors meetings when necessary, and assist with event arrangements as required.
Our Ideal Candidate
You have a Certificate in Local Government Administration and a minimum of 2 years senior administrative support experience in local government or in a legal office environment, or an equivalent combination of education and experience. You possess excellent interpersonal and communication skills, and are able to work with considerable independence and minimal supervision. You can multitask and you are conscientious, detail-orientated and accustomed to working in a busy office environment where deadlines are adhered to. You will also have the ability to deal effectively with the public, staff, elected officials and other internal and external contacts. The ability to take formal minutes, along with a thorough knowledge of business English, spelling and punctuation, advanced knowledge of Microsoft Office, and considerable related experience in local government procedures is also required. Knowledge of shorthand, and experience with scanning, filing and searching documents, preferably within the ICompass software system and the LGM Records Classification filing structure would be assets. You also have demonstrated experience transcribing minutes, and experience, preferably, preparing electronic agendas and minutes.
The position is subject to the provisions of the Collective Agreement with the Canadian Union of Public Employees, Local 900. The biweekly salary for this position is $1,911.15. The TNRD requires that all employees undergo a Criminal Record Check.
