Summary:
The Invasive Species Centre, a growing non-profit seeks a Financial-Administrative Officer to manage the financial and administrative operations of the organisation. The Financial-Administrative Officer will oversee annual budgets, accounting, audit preparation, and ensure smooth administrative operations. Key duties of the Financial-Administrative Officer:
Financial
Plan, organize, and control accounting operations
Implement financial policies, systems, and procedures
Provide regular financial updates to Management team and Board of Directors
Coordinate the preparation of financial statements for funding agreements, management, and the organisation in an accurate and timely manner
Review incoming funding agreements and prepare budget setup with existing chart of accounts
Track funding agreements, financial reports, and reporting requirements
Coordinate and support project leaders with project budgets and tracking
Maintain and monitor the annual budget process and coordinate financial planning
Oversee annual audit preparation and liaison with external Auditor
Coordinate and assist with bookkeeping and entry
Manage records
Administrative
Coordinate payroll and benefits, remittances, expense claims, payables, and receivables
Coordinate office management, including facilities, purchasing, equipment, records management, and health and safety
Provide some administrative support to the Executive Director
Manage the professional contracts for insurance, benefits, and IT contractors
Coordinate banking
Other related duties as required
Preferred Competencies and Qualifications:
Required
Degree, diploma or equivalent experience in accounting, finance, office administration, business, or a related field
Several years of experience in accounting, bookkeeping, budgeting, auditing, financial planning
Significant related experience and an in-depth knowledge of numerous administrative fields
Several years of experience in office administration, including coordinating payroll
Proficiency with Microsoft Office and Sage (Simply Accounting) software
Strong interpersonal skills, listening skills and judgement
Good communication, diplomacy, and discretion on confidential matters
Strong analytical, organizational, and administrative skills
Good attention to detail
Ability to manage multiple tasks, meet deadlines and produce high quality results
Flexibility and willingness to work as part of team, often in a fast-paced environment
Other duties as required
Preferred
Work or volunteer experience in a not-for-profit organization
Experience with administering government funding agreements
Chartered Professional Accountant designation or equivalent an asset
Experience and/or certifications related to health and safety, human resources, non-profit management
Other requirements:
Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of employment
Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

Occasional travel and work outside of office hours may be required
