Executive Coordinator – Islands Trust – Victoria, BC

We are seeking an experienced Executive Coordinator to join our Victoria office. This is a full time, temporary position until June 2017. After that time, the position may be extended and may become permanent.

Your work supports the Islands Trust Area – a scenic archipelago of 13 major islands and more than 450 smaller islands. Our islands are characterized by vital communities, a rich cultural history and habitat for an exceptional variety of species, some found nowhere else in Canada. Outstanding scenery and recreational resources include panoramic viewpoints, sheltered bays with warm sand and pebble beaches and protected marine waterways and anchorages that contribute to the Trust Area’s beauty and appeal. The Islands Trust is a federation of local island governments with a provincial mandate to preserve and protect this special area.

About the Job:
Reporting directly to the Chief Administrative Officer of the Islands Trust, the Executive Coordinator provides executive administrative support to the Islands Trust Council, its Executive Committee, the Islands Trust Chair and the Chief Administrative Officer. The position ensures that activities of the elected bodies are conducted in accordance with local government statutory requirements and procedures and is designated as Recording Secretary for the Executive Committee, and for the Islands Trust Council which meets quarterly on islands throughout the Islands Trust Area. You can deal with elected officials, the public and colleagues with courtesy and tact. You can establish and maintain positive working relationships and communicate effectively. You have previous experience supervising others and have dealt with complex and confidential political and administrative matters.

Qualifications and Experience needed to be successful in this position:

Secondary school graduation or equivalent, plus a certificate or diploma in public administration or related field and a minimum of three years’ related experience, preferably at a senior level in a fast-paced clerical/administrative role; OR
Secondary school graduation or equivalent, plus a minimum of five years’ related experience, preferably at a senior level in a fast-paced clerical/administrative role.
Preference may be given to applicants with related courses/training such as public administration, office administration, communications, records management, supervisory skills and financial skills.

Related Experience:

Experience managing a demanding calendar by determining priorities and urgent situations, scheduling and coordinating appointments, meetings, complex travel arrangements, and compiling meeting materials.
Experience in coordinating logistics (travel, accommodations, meals, etc.) for part-day and multi-day meetings of elected bodies and staff groups, both within the office and off-site.
Experience in agenda preparation, minute-taking and parliamentary procedure, preferably in a British Columbia local government environment.
Experience in interpreting and applying policies, procedures and legislation.
Experience in dealing with highly confidential and sensitive issues.
Experience in records management and working with the Freedom of Information and Protection of Privacy Act.
Preference may be given to applicants with experience working in an office environment in a confidential capacity supporting a senior executive.
Preference may be given to applicants with supervisory experience.

Special Requirements

Successful completion of security screening requirements of the BC Public Service, which may include a criminal records check, and/or Criminal Records Review Act (CRRA) check, and/or enhanced security screening checks as required by the ministry.
Occasional travel to islands in the Islands Trust Area to arrange and attend multi-day meetings, with occasional irregular hours and overnight stays out-of-town.
Must have a valid BC driver’s license.
