Executive Assistant, President’s Office (Term) – St. Francis Xavier University – Antigonish, Nova Scotia

St. Francis Xavier University, a top-rated undergraduate University in Antigonish, Nova Scotia is seeking an Executive Assistant to the President’s Office to fill a 14 month term (December 2015 to February 2017).  The Executive Assistant to the President assists with operational and administrative details and performs administrative functions that require a thorough knowledge of University policies, and procedures.   The Executive Assistant to the President exercises initiative and independent judgment in managing the President’s schedule and the daily activities of the office.  The position requires exceptional diplomacy and tact in representing the interests of the President in interacting with University administration, Board members, external community stakeholders and government officials.  This position is in Salary Band C, salary range $21.23 per hour to $25.94 per hour for 37.5 hours per week.

Responsibilities:

Provides administrative support and ensures the smooth function of the President’s office.
Manages the President’s calendar, being cognizant of meeting schedules, subjects, agendas and timelines. Prepares daily files and ensures appropriate briefing notes and all background material is available.
Coordinates meetings and events on campus for internal/external participants and organizing logistics for external guests.
Supports complex committee and project files, monitors and reconciles departmental financial activities.
Serves as a liaison between the President and other University administrators, members of the Board of Governors, public and private officials, various boards, faculty, staff and students by communicating and/or interpreting policy, decisions and documents issued by the University.  Assembles and provides information to the President.
Liaises with external associations and committees in which the President is involved.
Produce, maintain and be responsible for documents of a highly confidential and sensitive nature.
Serves as a resource on a variety of topics and provides support to committees where the President serves as Chair, including Selection/Search Committees for Senior Administrative positions.
Coordinates meetings, agendas and minutes for President’s Council.
Works closely with and supports where appropriate the Executive Director of Government Relations.
Feel confident working independently and able to address issues proficiently and professionally when guidance is not available.

Qualifications/Skills:

A degree or diploma in a relevant area from a recognized university or college and/or equivalent experience.
Minimum of 7 years’ experience working with senior level administrators.
Energetic individual with superior interpersonal and communication skills both written and verbal.
Excellent time management and organizational skills.
Ability to work effectively and efficiently in a high pressure, fast-paced environment.
Advanced computer skills particularly in Microsoft Office (including Word, Excel, Access, Outlook, PowerPoint) and internet search functions are essential.
Strong ability to work with minimal supervision, self-motivated, extremely well-organized.
This position requires a flexible work week during peak periods.
