As an Executive Administrative Assistant at NBHRF, your main responsibilities are:
Prioritize, coordinate and schedule calls, appointments, meetings, and travel arrangements for the CEO
Coordinate all logistical requirements for the CEO which includes board meetings, conferences, and events
Track critical documents, correspondence and meetings and inform CEO of outstanding items
Answer telephone, send and receive mail as appropriate for all office staff (4)
Make travel arrangements for office staff
Review all documents, reports and correspondence prepared by the CEO
Complete expense reports, monitor incoming calls and e-mails effectively and in a timely manner for the CEO
Facilitate communication between different internal parties through the usage of conference calls, webinars and video conferencing
Attend meetings, events and conferences as requested, provide associated administrative support (e.g. minutes)
Anticipate the needs of the CEO by looking for new and innovative approaches to work
Ensure a professional demeanor while receiving, redirecting or acting as a liaison between clients both in-person and on the phone
File and archive hard copy and electronic documentation
Perform other related duties as assigned such as, but not limited to special projects, administrative support for funded project teams, cost/benefit analyses
You are the ideal Executive Administrative Assistant at NBHRF if you have:
Excellent verbal and written communication skills and proofreading skills
Minimum 3 years of experience in an Administrative role
Valid driver’s license
Bilingualism in spoken and written English and French
Proficiency in all Microsoft Office applications and internet navigation/applications
Ability to work well under pressure and with tight timelines
Ability to prioritize tasks and work with little guidance
Strong time-management, organizational, problem solving and multi-tasking skills
Strong attention to detail
Ability to use a high level of tact, discretion and confidentiality when dealing with sensitive information
Ability to exercise good judgment, show initiative and be proactive as appropriate
Ability to travel
A University degree, knowledge and/or understanding related to research and innovation and experience in general IT support and database/website management (All are considered Assets)
