The Toronto Centre for Active Transportation (TCAT) is seeking a highly motivated Event Coordinator for its 2015 Complete Streets Forum taking place on October 1, 2015 at Hart House at the University of Toronto.
This is a 3 days/week contract position from July 13 to Oct 9, 2015 @ $18/hr, at the TCAT office located at 75 Elizabeth Street, Toronto. The coordinator will work closely with the TCAT Director to organize and support this high-profile important event by developing an event plan, organizing logistics, and assisting with various aspects of the event.

Duties and Responsibilities
The position may entail, but not be limited to, the following:
Provide support to the TCAT Director by assisting in the development of conference themes, session topics and potential speakers
Develop a strategic event plan for the Complete Streets Forum, including targets and outcomes and plan for including multiple stakeholders and target audiences
Plan and implement all day-to-day details of the event work plan, including any ancillary events (e.g. mobile workshops, receptions, etc.)
Provide support to the TCAT Director to secure and track sponsorships, and to provide information to potential funders (reports, communications) as needed
Assist with production of donor communications and reporting
Develop session topics and research and invite speakers
Create marketing and media plan
Develop high quality written and graphical material promotional materials including for fundraising purposes
Create media advisories and releases
Promote conference through social media
Monitor budgets, negotiating rates with suppliers and controlling expenses to stay within budget
Maintain a database of speakers, sponsors and registrants
Recruit, train and motivate volunteers
Research and implement best on-line registration interface
Manage all aspects of registration process including tracking, responding to inquiries, etc.
Develop program schedule
Prepare and arrange printing and assembling of all materials for registration packages (programs, name badges, etc.) and venue signage
Assist with wrap-up, summary report, thank yous, upload presentations on-line, etc.
