Organic Connections, Western Canada’s largest non-profit organization dedicated to organizing events for the Prairie organic community, is looking for an enthusiastic, self-motivated, highly organized person to join our team as an event coordinator. This person will organize our major conference/trade show which is held every second year. The next one is scheduled for November, 2016 in Regina. In addition, they will organize smaller events throughout the year, and especially in our “off” year, as directed by the Board.
Key Duties:
Event planning and production:
Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs.
Aggressively gather information on the issues and needs of the organic community to help ensure our events meet their expectations.
Conduct research, make site visits, and find resources to help the Board make decisions about event possibilities.
Create and revise room layouts for each event.
Propose new ideas to improve the event planning and implementation process
Serve as liaison with vendors on event-related matters.
Managing on-site event and clean up.
Prepare nametags, materials, notebooks, packages, gift bags, registration lists, etc.
Close out all events as required.
Administration:
Assist with preparing budgets and provide periodic progress reports to the Board for each project.
Track event finances including receiving monies, invoicing, ensuring vendors are paid on time and reporting.
Ensure organization complies with all legal requirements (eg annual corporate returns).
Fund raising, including but not limited to grant writing and seeking sponsorships
Prepare and distribute monthly report of activities to the Board of Directors.
Manage updates to the website.
Requirements:
A certificate in event coordination or comparable experience.
Project management training or experience.
Excellent communication skills, including writing, proof reading and speaking.
Ability to manage multiple projects while motivating and working with a variety of committees and volunteers.
Ability to accomplish projects with little supervision.
Proficient in Microsoft Word, Excel, PowerPoint, and web searches.
Desktop publishing experience.
Social media proficiency would be a definite asset.
Basic accounting skills, proficiency in QuickBooks would be an asset.
Applicant will be expected to work from home office, must provide own space, computer, and other basic office equipment.
Experience working in the non-profit world would be an asset.
