Job Title: Fire Protection Divisional Coordinator

Reports to: Fire Protection Manager for Alberta

Summary

Duties:

Ensure all projects are properly documented with signed Agreements. Review agreements for price, scope, terms, etc prior to submission to Management for execution
Receive, review and file all safety paperwork from projects
Ensure all relevant permits have been secured for all projects
Review project specific vendor data requirements and ensure personnel assigned to the project are made aware of all requirements. This includes ensuring that deign drawings and calculations are presented in a manner consistent with client vendor data requirements
Implement project specific requirements ensuring that all personnel are aware of these requirements
Upon project award, update project master list
Transmit new revised Gisborne drawings to client for review and ensure all transmittals are recorded in transmittal log
Respond to any schedule/scope changes and ensure implementation of same
Obtain approval for all contract Change Orders on a timely basis. Ensure Change Orders are included in the invoicing process. Approve all contract changes, submit and follow up on payments.
Receive, review, respond as required to all client revisions, comments and approvals for drawings as directed by Division Manager
Maintain project drawing list (includes Client, Gisborne and Vendor Drawings)
Review and familiarize Accounts Receivable staff with project specific progressing requirements
Oversee the collation and assembly of project manuals for distribution to clients
Collate and assemble project binders for site management
Oversee the preparation of red line drawings based on field conditions to ensure these are completed in a timely manner and forwarded to Engineering
Receive/prepare and manage non-conformance reports and maintain NCR Register
Maintain Request for Information Log (RFI) and assist with preparation/communication of RFI’s
Administer change orders including entering all Change Orders into system, processing and forwarding to accounting, maintain Change Order Books and files
Manage Purchase Order Log –scan PO’s to Head Office Accounts Payable Dept
Assist with completion of Job Costing Reports and Cost to Complete Documents as required
Manage archive organization for all projects
Prepare electronic folder for project data using standard structure and load Gisborne template documents into project folder
File project emails on server in related project folder
Attend wrap up meetings and review/document performance
May be required to assist manager and engineering with job and project close out documentation
As assigned, conduct new employee safety orientations and forward all related documents to accounting and safety departments
In conjunction with Division Manager and Human Resources Manager, organize apprentice training/schooling, evaluations, liaison with union and maintain logs and records
Perform other duties as assigned or assumed on personal initiative with approval from manager

KEY REQUIREMENTS:

Command of the English Language- Good verbal skills
Excellent MS Office Skills
Excellent MS Project skills (or other scheduling software)
Organizational skills
Document Control Experience
Management Experience/ Expert Communicator
Contract Management Experience

This is a full time position 40hr week Monday – Friday. GFPA has been in operation for over 30 years. Position includes salary, Benefits & RRSP plan – to be discussed with qualified candidate at time of offer.
