The City of Duncan invites applications from qualified persons for the exempt full-time, permanent position of Corporate Services Coordinator.
Duncan is located on Vancouver Island in the heart of the ‘Warmland’ – the Cowichan Valley, less than an hour from Nanaimo and Victoria. This compact city offers high quality living and acts as the commercial centre for a market area of approximately 44,000 people. Duncan’s central location provides easy access to culture and the arts, transportation, all forms of indoor and outdoor recreation, high quality schools, and healthcare; yet housing is affordable. Duncan is known as the “City of Totems” and values its culture, vibrant downtown, history, and environment.
Reporting to the Director of Corporate Services, the Corporate Services Coordinator is responsible for performing a wide range of professional administrative duties carried out under tight deadlines and requiring a high level of accuracy. These include: preparing agendas; recording and transcribing minutes for all Committee meetings; preparing and processing correspondence; maintaining the City’s records in accordance with the legislative requirements; handling Freedom of Information requests; processing permits in the Land Title Office; and other work of a complex and confidential nature. The incumbent works under minimal supervision, so independent use of discretionary judgement, exceptional communication and organization skills, and the ability to work well under pressure, is required.
Necessary skills and qualifications include:
Minimum of 5 years of solid municipal experience in an administrative role and completion of a Certification in Local Government Administration;
Substantial knowledge of agenda management and preparation with the ability to take meeting minutes and advise on meeting procedure;
Strong written and verbal communication skills with an ability to prepare reports, correspondence, procedures and other written materials;
Previous experience with records management, bylaws and legislative processes;
Excellent customer service skills with the ability to establish effective working relationships with elected officials and work collaboratively with staff at all levels;
Ability to organize and prioritize competing tasks and deadlines;
Advanced computer skills in Microsoft Office programs;
Ability to work varied hours as necessary to meet the requirements of the position;
Experience with website maintenance and ICompass software an asset.
