Congregation Administrator – First Unitarian Congregation – Toronto, Ontario

First Unitarian Congregation of Toronto is looking for an energetic individual with strong people and organizational skills, who will contribute to the growth of our congregation by helping to develop and maintain an administrative system that enables our busy community to function effectively. This person will be an active member of both our staff and volunteer leadership teams, bringing administrative expertise to those decision-making groups.

The Administrator reports to the Minister and the Administration Convenor and works closely with the Property Convenor, as required.

Job description/Responsibilities

1. Onsite administrative support: provides office support to staff and membership, managing the day-to-day operations and ensuring the smooth functioning of the many on site group activities.

2. Information management: establishes andmaintains up-to-date filing systems that allow the congregation to store, retrieve and share church information; manages the church’s google drive in google for non-profits.

3. Facilities Co-ordination: manages rentals and room bookings using Customer Relations Management software (Batchbook); ensures health and safety standard and building policy adherence and monitors property maintenance, including supervising custodians.

4. Information Technology Coordination: assists and trains leadership volunteers to use various systems; edits basic information on website; provides tech support on the database and other systems. Assists in managing our membership database.

5. Communication Support: maintains calendars for activities and building use; produces weekly order of service; provides support for other communication tools.

6. Finance: maintains familiarity with accounting system; works closely with the bookkeeper on administrative finance tasks; arranges banking and oversees the budget for admin resources.

Requirements/Qualifications

Friendliness, ability to take initiative and contribute to a staff team
Must be able to work on Sunday mornings to help with logistics and connect with members
Diploma in business administration or equivalent business courses
2 years+ of administrative experience
Demonstrated proficiency in MS Office suite, Email, and Internet protocol
Basic bookkeeping skills and some familiarity with accounting practices, QuickBooks
Experience with relational databases, cloud-based computer applications and file sharing
Strong communication skills, both verbal and written
Leadership skills with a commitment to working collaboratively with leadership volunteers and members
Organizational skills, both analytical and problem solving

Assets

Knowledge of Realm (database), Batchbook (CRM) and website editing
Willingness to learn new computer applications
Knowledge of / interest in Unitarian Universalism
