About the Role
Sea Smart is looking for a self-starter with a can-do attitude and has a strong commitment to our mission of inspiring and educating kids to love and protect the ocean. From office administration to answering the phone to supporting HR processes and providing support wherever needed, no task will be too big or small for you to handle. Our ideal candidate is a problem-solver who is able to anticipate the needs of the organization and take action to support the team. The Administrative Coordinator will be responsible for supporting the leadership team with all aspects of the organization’s operations, including program coordination, customer support, and team management. While the main role is to provide administrative and HR support, we are looking for a team player who loves to dive in and help with anything that we need to run Sea Smart smoothly.

Key Responsibilities
Coordinate meetings, schedules and events
Handle incoming calls and emails in a professional and timely manner
Support with staff recruitment, onboarding and other HR duties
Prepare and edit documents, reports, and presentations
Keep filing system on Google Drive organized
Assist with budget preparation and expense tracking
Perform general office tasks, such as filing, copying, and data entry
Provide coverage and support as needed
Wear many hats and be ready to take on any task that comes your way
Other duties as needed

Qualifications
2+ years of administrative experience, preferably with nonprofits
Highly organized, proactive, strategic and the ability to prioritize and adapt to changing priorities
Proven ability to develop plans, set priorities, complete work with minimal supervision, and meet deadlines
Passion, integrity, positive attitude, mission-driven, and self-directed
Strong written and verbal communication skills
Positive attitude and willingness to assist others
Strong attention to detail and problem-solving abilities
Demonstrated ability to handle confidential and sensitive information
Experience with project management software and proficiency in the use of Google Workspace software

Term of Appointment
This is a full-time role at 37.5 hours/week based at Sea Smart’s locations of work with a possibility of hybrid work after probation pending approval from the Executive Director. There will be some occasions where you will need to work during evenings and weekends. The work hours in such weeks will be adjusted so you do not exceed 75 hours per biweekly pay period.
