Administrative Assistant – London – The Centre of Hope

Job Description
RESPONSIBILITIES:
Provide accurate, timely and highly organized administrative support including preparing memos, correspondence, taking minutes, maintaining files, preparing presentation and reports and other documentation for the administrative team
Responsible for the organization and maintenance of the filing system (both electronically or manually) for the administrative team
Build and maintain databases (e.g. contact lists, inventory, etc.)
Perform general office duties such as answers and screens the telephone and directs enquiries and/or resolves routine enquiries; greets and escorts or directs visitors
Responsible to open and distribute all incoming mail and process outgoing mail
Photocopy and distribute materials as requested and sends and receives fax/email as requested
Responsible for the maintenance of boardroom and classroom reservations, etc.
Responsible to record and type minutes of assigned staff meetings and, once approved by the applicable Chair (or designate), circulate and/or post
Collect and prepare statistical information in an organized and timely manner
Maintain The Salvation Army London Centre of Hope History Book
Draft and prepare presentations, brochures, fliers, advertisements, newsletters subject to supervisory approval (e.g. power point presentations) and assist with projects and reports.
Responsible to book hotels and make travel arrangements as requested
Responsible to ensure the ongoing maintenance of all office equipment (e.g. photocopiers, fax machines; telephones; printers); ensuring all required supplies are in stock and repairs are dealt with expediently
Responsible to order office supplies for all departments and maintain adequate office supplies for administration
Assist in the coordination of training registrations.
Perform other position related duties as assigned.

QUALIFICATIONS:
Completed two (2) years of Community College, preferably the completion of a certificate in Business Administration
Minimum of three (3) years of prior related experience, including, experience dealing with office equipment and tools, senior administrative/secretarial experience
Proficient in all Microsoft Office products (Word, Excel, Publisher, PowerPoint, Outlook etc.)
Flair for desktop publishing software and experience with page layout and graphics techniques
Proficient in office procedures (telephone, photocopier, scanner, fax machine, room booking, etc.)
Adaptable, proactive, a self-starter and the ability to work independently
Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone
Ability to lift/move up to 20 lbs.
Ability to take detailed minutes, with strong attention to detail and type 80WPM with accuracy
Strong administrative, interpersonal and communication skills both oral and written
Strong organizational skills with the ability to complete assignments and meet deadlines with minimal supervision
Effective multi-tasking skills in a fast paced environment, with proven attention to detail and aptitude for accuracy and thoroughness and consistent follow-up skills
Demonstrate strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines with minimal supervision
An original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or a local police detachment.
May require screening through The Salvation Army Abuse Registry.
Support for and an understanding of the mission and purpose of The Salvation Army in Canada.
NOTE: Alternative combinations of education and experience may be considered

This is a permanent, full time position based on 40 hours per week. The normal work schedule is 9:00 a.m. to 5:00 p.m. and includes a ½ hour paid meal break. Schedule may vary according to requirements of responsibilities, some weekend and evening work may be required. Supervisor will set the work schedule.
