Administration and Development Coordinator – The Co-operative Maison Vert – Montreal

JOB SUMMARY
The Administration and Development Coordinator (ADC) is responsible for day to day administrative tasks as well as long-term financial planning and development initiatives. It is the responsibility of the ADC to maintain strong communication with the team to minimise errors and share essential information regarding the store’s budget and various development strategies.
The Administration and Development Coordinator is also responsible for serving the customers of the Coop la Maison Verte (CLMV) in French and English while maintaining a calm, professional, and courteous demeanor. The ADC will maintain an in-depth knowledge of environmental and community issues endorsed by the CLMV and is knowledgeable of the products and services offered by the CLMV. In conjunction with the Board of Directors (BoD) and staff, the ADC will directly contribute to the development of the CLMV’s growth as a local business and partner to other community organisations.

Administration
Prepares annual budgets and periodic reviews for the Board of Directors (BoD) including; income statements, balance sheets, cash flow reports, and sales reports
Oversees all obligations to Government such as tax reporting, payroll tax ;
Prepares the annual reports to the Directions des cooperatives and the Régistre des entreprises ;
Works with Co-op bookkeeper and accountant to produce year-end financial statements and monthly reconciliations.
Responsible for all of the Coop’s financial operations, including but not limited to: invoice payments, payroll, and any other day-to-day financial engagements.
Manages the cash floats, petty cash and weekly deposits;

Human Resources
Supports the staff to meet Coop objectives as determined by the Coop mission statement and BoD ;
With the Assistant coordinator and the BoD, participates in staff hiring, training and evaluations.
Participates in scheduled staff, coordinator, and BoD meetings ;
Encourages a collaborative and supportive work environment so employees feel at ease to share their concerns and ideas.

Customer Relations
Participates in at least one weekly shift on the sales floor ;
Serves customers of the CLMV in a courteous and respectful manner by phone, email or in person;
Monitors and responds to customer needs and recommendations ;
Explains advantages and costs of membership and solicits new and active members

General Responsibilities
Possesses a comprehensive knowledge of related environmental or social issues pertaining to products and services offered by the CLMV ;
Promotes the use of the CLMV as a viable and enjoyable community space ;
May contribute to organizing and running of special events ;
Proactively identifies problems or areas of improvement and propose solutions to the team and/or BoD.

Qualifications of a successful candidate:
Experience in administration of small to medium sized businesses
Experience in retail and/or the natural foods sector
Experience in cooperatives or non-profit organisations
Fluently bilingual

Hours: Position is approximately 30 hours (4 days) per week.
