DEPARTMENT: Engineering STATUS: Full Time

HOURS OF WORK: 37.5 Hours/Week SALARY: 65,451 to $72,162 annually
Reporting to the Director of Engineering, you will be an integral part of the Engineering team, where your role will be to plan and coordinate the day-to-day administrative activities of the Engineering Department, perform specialized administrative work and provide quality customer service to both public and staff. Some key responsibilities include preparing and monitoring departmental budgets; coordinating staff scheduling and coverage; responding to and following up with action requests; preparing Council reports and technical documents; performing various administration duties such as approving payroll time entry, processing purchase orders and maintaining supplies; providing various clerical services for committees; liaising with and providing departmental information to staff and external contacts; addressing public inquiries and complaints; and supervising clerical staff.
REQUIREMENTS:
Grade 12 supplemented by the completion of a post-secondary certificate or diploma in office administration, plus considerable related experience, or an equivalent combination of training and experience as recognized by the Employer.
Considerable knowledge of administrative practices, methods and techniques.
Considerable knowledge of the departmental organization and of the rules, regulations, policies, and procedures applicable to the work performed.
Considerable knowledge and experience in using standard office equipment and computer software ie Microsoft Office Suite 2010, including Outlook, Word, Excel and Powerpoint.
Knowledge and experience in using various computer software such as JD Edwards, Tempest, Kronos and Provox would be considered an asset.
Ability to plan and coordinate scheduling, logistics and processes within an office environment.
Ability to research, compile and analyze a variety of statistics and information for reports.
Ability to ensure the maintenance and control of a variety of office records, files, documents, correspondence and related data.
Ability to hire, train, coach and supervise staff engaged in clerical duties.
Ability to act with tact, diplomacy and discretion.
Ability to demonstrate excellent verbal and written communication skills, including the ability to independently prepare narrative and statistical reports and complex correspondence.
Ability to establish and maintain effective liaisons, communications and working relationships with staff, external contacts and the general public and to demonstrate exceptional customer service skills.
Ability to work independently and with minimal supervision, organize workload and set priorities, and to be flexible with changing priorities and deadlines.
Minimum typing speed of 55 wpm.
