Part time Bilingual Lead Coordinator – Ottawa – Martels Real Estate Inc

Ideal for students: 15-25 hours a week
Busy East End office (Easy access to Montreal Rd Exit)

A new role in a fast-paced real estate environment. The lead coordinator will work directly with all the members of the Martels. The candidate is to provide support to all team members, including the agents, the staff, as well as our clients and our customers. The successful candidate will be responsible to answer phones, communicate with clients via email and phone, and other administrative duties.
General knowledge of real estate is an asset.
The Candidate must have some years of experience working in a fast-paced office environment, and also be fully bilingual in French and English, written and spoken.
The position is mostly for night and weekends.
Work hours until 7:00 pm weekdays and 9:00 am to 5:00 pm on Saturday and 10:00 am to 4:00 pm on Sunday

Administrative, lead and some marketing Duties:
Answer phones, IMMEDIATELY message agents. Must have and use an energetic and enthusiastic voice.
Enter and complete all leads paged to agents in our database and schedule follow-ups with the agent.
Assist sellers, buyers, prospects, and agents, transfer over to the Client Service Manager or the agents, and/or provide assistance to those who require.
Prepare CMA presentation documents for Martels’ agents and use MLX to provide agents with the Over-the-Net Evaluation
Assist in preparing feature Sheets
Pull off e-mail inquiries of the Net Evaluation, Distress Sales, Fixer Upper, enter in Data Base Management.
Prepare and distribute mailings in response to direct response ads (e.g. editorial-style special reports, classified service ads, USP ads)
Some data entries required and responsible for filing system
Assist with all marketing, promotion, blogging and media advertising.
Help in the design marketing material such as flyers, fact sheets, presentation material, mini websites feature sheets, postcards, newsletters, newspapers & other marketing materials. Ensure Managing Director signs off final “proof” of work prior to printing.
Assist with social media management dashboard to allow for increased efficiency and tracking of social platforms.
Responsible to retrieve and report all statistics produced from Marketing and advertising medium
Assist with all types of mailing, Canada Post, courier, including maintaining a report list
Upload photos on MLX, showing suite, web advertising…
Maintain list of all types of advertisement, in-house brochure, kits… to apply new type of changes
Create, produce, and ensure all school lists, bus lists, builders’ lists… are up to date and accurate
Create and produce area benefits for all areas to copy and paste on appropriate feature sheets
Assist in booking, scheduling showing or confirming listing/Buyer/inspection appointments
Assist to prepare all kits used in the office and keep a good inventory;
Prospect/Client Communication;
Database Management.
Prepare and execute newsletter mailings
Retrieve all same offices postal address and little company Brokerage name and address
This position is also to provide support for the Office Coordinator, the Customer Service Client Relation, Manager, overseeing all types of inventory.

Position Qualifications
The ideal candidate will be an individual that enjoys Real Estate and has some experience in a fast-paced office environment.

Required:
1-2 years’ work experience in a similar role.
Strong understanding of the Ottawa Real Estate, or general interest in this industry and quick to learn.
Demonstrated ability to write in French and English quickly, professionally and with minimum errors.
Customer service oriented; proven ability to effectively respond to various types of people, must have good enthusiastic and positive personality.
Excellent organizational, planning and time management skills; attention to detail.
Capable of exercising independent judgment and flexibility.
Excellent computer skills, ability to learn in-house programs.
Communicate openly and have a strong desire to learn and innovate.
