The Centre for Mindfulness Studies (CMS) is a dynamic, fast-growing and innovative social enterprise and charity. We seek to be the national leader in the application of mindfulness-based approaches in health care, education and social services. We are also a caring organization. Our service and care for our clients, our community and our staff is at the heart of everything we do.

We’re looking for someone with a passion for service, demonstrated administrative skills, and an interest in mindfulness as a means of personal growth, well-being and mental health.

CMS currently has 9 staff, and 25 faculty. We offer clinical treatment to individuals suffering from mood disorders e.g. anxiety/depression and chronic health conditions, e.g., pain, cancer, etc. The Centre also provides professional development programs for healthcare, education, and social service providers. The Centre extends these services for free or at a nominal cost to marginalized populations and the front line workers who support them. Our faculty is comprised of highly trained health professionals who treat a variety of conditions using mindfulness-based practices and therapies.

Reporting to the Managing Director, the Operations Manager is the heart of our Fee-based Program, which includes our mindfulness-based therapies, introductory courses , professional development and business-to-business programs.

KEY RESPONSIBILITIES:

1. Program management – planning, managing and overseeing the Centre’s fee-based programs (therapy, introductory, professional development and business-to-business programs):

Develop each season’s program schedule, including liaising with faculty and senior staff
Oversee program material development, organization and maintenance
Manage program delivery:
Program announcements and distribution of program materials
Client/customer interactions
Registrations and payment
Course set-up, delivery, closing and follow-up
Implementation of The Centre’s research program
Delivery of business-to-business programs, which serve health and education organizations, as well as business and government, and take place at their venue

2. Accreditation – many of The Centre’s professional development programs are accredited by the University of Toronto and the Ontario College of Family Physicians:

In consultation with The Centre’s Director of Education, liaise with the University and OCFP to obtain accreditation for new courses and maintain accreditation for existing ones

3. Policy Development

Develop and update operational policies and manuals

4. Human Resources Management

Manage the Operations staff, including a full-time Operations Coordinator and other staff who assist with Operations 1 or 2 days a week

5. Other duties as assigned

SUCCESSFUL CANDIDATES WILL HAVE

A passion for service, demonstrated administrative skills, and an interest in mindfulness as a means of personal growth, well-being and mental health
Personal qualities of integrity, credibility, professionalism and commitment to the mission of The Centre (see About Us)
Minimum of a Bachelors degree
Strong administrative skills and experience – ideally working in a supervisory/management role in a socially responsible organization or health services provider

Excellent people skills, with an ability to provide warm and consistent customer service
Ease with computer systems
High attention to detail and strong problem-solving skills
Ability to work independently as well as collaboratively
Flexibility of schedule in order to accommodate the needs of fluctuating course load. Courses are offered weekdays, evenings and weekends, and the Operations Manager will at times be required to work outside office hours
Ability to use discretion, judgment and tact in handling sensitive or confidential information or situations
A desire to work in harmony with others and to learn effective ways to interact and take care of yourself, others, and the job at hand
Flexible outlook – can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems
