Member Services and Education Coordinator – Canadian Passive House Institute West – Victoria, British Columbia

Salary: Part time, $20/hour

Overview

The Canadian Passive House Institute West (CanPHI West) is a not-for-profit organization working to provide Canadians with the knowledge, tools and networks to design and construct energy efficient buildings to meet the international Passive House Standard. We do this through educational programs, events, and providing our member base with the latest Passive House news and information.

Reporting to the President, and working with the Education Chair and Communications Manager, the Member Services and Education Coordinator will support our growing member base and organize the delivery of the education schedule. As first point of contact for member inquiries, previous experience in a customer service role is preferable, with excellent written and verbal communication skills. Experience organizing events, sourcing suppliers and arranging travel is useful, and proficiency with MS Office essential.

The position will be based from home initially, and the successful applicant will demonstrate the ability to prioritize activities and work without supervision. Depending on workload, the position may become full time. A suitable laptop and smartphone for working is required and a monthly technology allowance is provided. Knowledge of Passive House is not required but an interest in sustainable building and a passion for a greener future a must!

Background

CanPHI West is a regional chapter of the Canadian Passive House Institute, the Canadian affiliate of the International Passive House Association and a member of the North American Passive House Network, CanPHI West was incorporated in 2013 to serve four provinces and three territories, and currently has 160 paid members.

Having recently evolved from a volunteer run organization to a team of two paid staff, the rapidly growing interest in the Passive House building standard in Western Canada, and across the country, means we’re looking for an enthusiastic person to join our team and grow with us.

Duties include:

1. Support and maintain relationships with existing members and process new memberships. Respond to general inquiries via email and phone. Recruitment of new members and manage payments. Maintain membership database and manage member renewal process. Manage the sale and shipping of software to members.

2. Work with Education Committee Chair planning and scheduling courses. Contract course conductors. Handle planning logistics for course venue, materials, catering, AV requirements. Maintain and manage list of people interested in courses. Organize courses within agreed budget, maintain reporting of course income and costs. Collate participant feedback after courses.

3. Maintain organisational documents database (Google Drive) – look into professional server for storing documents. Provide input and content for President’s reports to the Board of Directors. Assist in organising Board and other organisational meetings. Manage organisational emails and domain hosting.

4. Manage PayPal account. Support bookkeeper by supplying all invoices and monthly bank account statements. Issue cheques. Manage accounts via Quickbooks – send invoices and input payments received.
