Overview:
The Canadian Passive House Institute West (CanPHI West) is a not-for-profit organization working to provide Canadians with the knowledge, tools and networks to design and construct energy efficient buildings meeting the international Passive House Standard. We do this through educational programs, events, and by providing our member base with the latest Passive House news and information.
Reporting to the CEO, and working with the Education team and Communications Manager, the Office Coordinator will support our growing organization by developing and maintaining administrative and organizational systems and practices and helping in other aspects of the office as required. Previous experience managing organizational finances and a working knowledge of Quickbooks or Sage Simply Accounting would be considered an asset. Experience organizing events, sourcing suppliers and arranging travel is useful, and proficiency with MS Office essential.
The successful applicant will demonstrate the ability to prioritize activities and work without supervision. A suitable laptop and smartphone for working is required and a monthly technology allowance is provided. Knowledge of Passive House is not required but an interest in sustainable building and a passion for a greener future is a must!
Background: CanPHI West is the Canadian affiliate of the International Passive House Association and a member of the North American Passive House Network. CanPHI West was incorporated in 2013 to serve four provinces and three territories. Operations will soon transition to a new national Passive House organization expanding the scope of operations nationally. CanPHI West has recently evolved from a volunteer run organization to a team of three paid staff. We are looking for an enthusiastic person to join our team and grow with us.
Duties include:
Managing daily operations of the Victoria office and helping to develop organizational systems. Making sure the office runs smoothly. Purchasing necessary supplies and equipment when necessary. Responding to general inquiries via email and phone.
Managing operational budgets, bank account and PayPal account. Working closely with the bookkeeper to manage invoices, credit cards and monthly bank account statements. Issuing cheques. Managing accounts via Quickbooks – sending invoices and inputting payments received.
Assisting with events such as conferences and workshops, working closely with planning committees.
Maintain organizational documents database (Google Drive) and look into professional server for storing documents. Manage organizational emails and domain hosting.
Provide input and content for CEO’s reports to the Board of Directors. Assist in organizing Board and other organizational meetings.
Assisting with the organization of educational courses in communities throughout Canada.
Assisting with communications under the direction of the Communications Manager.
Qualifications:
Organized, efficient, self reliant, able to manage multiple tasks
Experience managing operational budgets
Ability to work and engage with people
Experience working with Quickbooks or Sage Simply Accounting is considered an asset
Excellent oral and written communication skills
Proficiency with MS office
