Job Description
Community Forests International is searching for a Staff Bookkeeper to join our ambitious and deeply collaborative team as we grow. The new team member will assist by managing accounts payable and receivable, updating our general ledger to track income and expenses, and preparing financial reports. They will work most regularly with the Executive Director and Financial Controller on overall organizational bookkeeping and periodically with other staff on project-level bookkeeping.
Job Duties
1. Communication and Information Flow
Communicate regularly with the Executive Director, Financial Controller, and other staff to ensure that information related to financial bookkeeping is prompt and clear and that any issues arising are identified and addressed as soon as possible.
Generate financial reports as needed to assist with both overall organizational financial tracking and planning including board reports as well as project level financial tracking and planning.
2. Record Keeping and Data Entry
Understand and adhere to all applicable laws and standards regarding financial record keeping for a registered Canadian charity.
Record day-to-day financial transactions in the appropriate ledgers including the organization’s general ledger, project ledgers, supplier ledgers, and customer or contractor ledgers.
Ensure that expense claims, invoices, and proof of payment files (in hard and soft copy as appropriate) are filed properly for financial tracking, reporting, and auditing purposes.
Maintain financial data entry and record-keeping processes for individual projects and accounts and periodically generate financial status reports for various projects to track expenses, incomes, and fiscal deadlines.
3. Process Accounts Receivable and Payable
Calculate, verify, pay, issue and record all approved:
expense claims and inbound invoices received from suppliers including tracking and filing proof of payment of inbound invoices;
contribution agreements and outbound invoices to clients, customers, and contracting bodies including tracking and filing proof of payment of contribution agreements and outbound invoices;
bi-weekly payroll including salaries, working hours, vacation leave, sick leave, and benefits as well as Mandatory Employment Relates Costs (MERCS) including employee and employer contributions to Canada Pension Plan, Employment Insurance, Income Tax, and all other applicable Canada Revenue Agency and Workplace Safety taxes and fees; and PayPal, CanadaHelps, and Stripe
all applicable taxes and tax exemptions and rebates including eligible HST rebates for registered charities.
4. Audit Preparations and Participation
Collaborate with the Executive Director, Financial Controller, and third-party auditors to adhere to annual financial reporting and auditing standards and processes for a registered Canadian charity.
Prepare all bookkeeping ledgers, files, reports, and clarifications requested by third party financial auditors as needed.
Essential Qualifications
Candidates should have work experience as a Staff Bookkeeper or equivalent. Additional essential qualifications include:
Strong interpersonal skills including communication skills to clearly and effectively communicate with colleagues, suppliers, customers, and auditors as needed.
Demonstrated experience working with Sage Accounting software is an asset.
Demonstrated experience working with QuickBooks and Excel. Familiarity with other accounting software and financial platforms such as Keela, PayPal, CanadaHelps, and
High attention to detail to ensure accuracy and minimize errors in calculating, verifying, paying, recording and tracking financial information and processes.
Strong financial literacy, an understanding of how to manage financial records for a Canadian charity including applicable standards and laws, and familiarity with the principles of accounting.
Data entry and file organization skills and ability to effectively organize multiple ledgers, projects, and reports while adhering to tight deadlines.

Work Arrangement and Salary
This is a flexible position and we are open to proposals for a range of contract arrangements that suit the candidate and ensure best quality of outcomes for both employee (or contractor) and employer. The position will be remunerated based on level of experience with a starting hourly wage range of $20-$28 / hour. Benefits are available for staff positions, and mentorship is available for more junior candidates if needed.
