Job Overview
BluEarth is looking for an experienced Executive Assistant to support our senior executive team including, the CFO; the COO; the EVP, Origination & Development; the EVP, Engineering & Construction; and the VP Wind & Solar Operations. The Executive Assistant is highly self-motivated, professional and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Accountabilities and Duties
Anticipate the needs of executives and proactively manage day-to-day administration for and on behalf of these individuals;
Coordinate executive communications, including taking calls, routing correspondence, responding to emails and interfacing with internal/external stakeholders;
Handle requests and queries appropriately with professionalism, accuracy and keen sense of urgency;
Prepare internal and external documents for team members, including formatting of presentations and reports;
Schedule meetings, both internal and external, and arrange any related catering and/or technology requirements;
Schedule appointments and manage travel itineraries;
Process expense claims;
Assemble and create initial drafts of presentations;
Performing duties of a personal nature for executives as required;
Uphold a strict level of confidentiality;
Uphold all aspects of BluEarth’s Health, Safety & Environmental policies, practices, and programs;
Uphold BluEarth’s values and consistently enhance the image and reputation of the Company; and
Other duties as required.
Education, Experience & Skills
Post-secondary completion of one- or two-year program for administrative assistant, office assistant or other professional degree and/or program is required
Minimum of five years of experience as an Executive Assistant reporting directly to senior management
Advanced Microsoft Office skills
Demonstrated ‘can-do’ attitude
Exemplary planning, time management, organizational, project management and problem-solving skills
Impeccable multi-tasking abilities
Exceptional interpersonal skills
Excellent written and verbal communication, listening and customer service skills
Proven ability to establish and maintain positive working relationships with others both internally and externally – friendly and professional demeanour
Proven ability to assess situations to determine the importance, urgency and risks and make clear decisions which are timely and in the best interests of BluEarth
Ability to prioritize workload in a fast-paced environment
Strong team player with ability to anticipate and proactively meet the needs of others with enthusiasm
Passionate about contributing to a positive work environment and development of company culture
Enthusiasm for both the Position and BluEarth’s initiatives and vision
Job Requirements
Ability to work outside regular business hours when required
