The Role
The Moon Festival Volunteer Coordinator supports the Moon Festival Production Manager with volunteer recruitment, logistics and execution of the 21st Annual Renfrew Ravine Moon Festival. The role is best suited for someone who enjoys connecting with people, is excellent at juggling a variety of responsibilities, and is highly organized. The Volunteer Coordinator is responsible for recruiting, training, supporting, and inspiring community members in the neighbourhood to fulfil specific volunteer roles for the Renfrew Ravine Moon Festival. The Volunteer Coordinator acts in an organizational and mentorship role to ensure the Moon Festival has enough support in all the right places to be a successful and inspiring neighbourhood festival.
Responsibilities
General
Support Still Moon’s Moon Festival Production Manager (PM) in logistics, production, and festival staff support
Support set up, take down and running festival events
Perform miscellaneous errands and duties as needed
Take meeting minutes as required
Volunteers
Work with the Production Manager to develop a volunteer recruitment strategy
Responsible for communicating, orienting, and shifting placements
Administer school visits, volunteer orientations and plan volunteer appreciation
Create a volunteer info package and work with the PM to develop t-shirt and food plans
Create survey to solicit feedback from volunteers and site managers, for evaluation and learning
Special Projects
Support with the implementation and execution of new projects and events
Outreach
Support with community partner listings
Develop community outreach engagement strategy with PM
Implement and execute in-person and online information-sharing sessions about Still Moon and the Festival
Time permitting, assist with strategy and outreach for individual donations and/or corporate sponsorship
Logistics
Coordinate equipment rentals
Organize and take inventory of event and festival materials
Track volunteer statistics as required by funders
Qualifications
Experience with festival and/or community event planning
Experience managing and recruiting volunteers
Experience with coordination; organizing and scheduling, using spreadsheets, liaising between parties, delegating tasks
Confidence in written communication (professional email communication)
Friendly, outgoing, and assertive communicator; likes sharing information, ideas and stories, is comfortable giving instructions and delegating tasks; experience in customer service, an asset
Excellent organizational skills, including time management and prioritization
Proficient in G-Suite (Google Drive, GoogleSheets, GoogleDocs); experience with Asana an asset
Interest in arts, community development and environment
Able to work independently and take initiative
Demonstrated ability to adapt to varying work environments
Drivers licence and/or access to a car an asset
Second language (especially Cantonese, Mandarin or Tagalog), an asset
Personal computer and phone required
Be available for the full month of August and September
This position is funded by Canada Summer Jobs. To be eligible, youth must:
be between 15 and 30 years of age at the start of the employment*;
be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment**; and,
have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
Job Details
Salary: $ 18 – 19 / hour
Start Date: June 26th
End Date: October 13th (16 weeks total)
Schedule: The total hours worked during the contract will be 480, averaging 30 hours/wk). Hours worked may vary slightly from week to week depending on festival programming needs.
Schedule: 30 hrs/week
Location: Hybrid. Renfrew-Collingwood Community, Vancouver
Reports to: Moon Festival Production Manager
