Invasive Species Partnership and Grant Coordinator – Invasive Species Centre – Ontario

Position Summary
The main role of the Invasive Species Partnership and Grant Coordinator is the development and implementation of all aspects of a granting program for invasive species. This will involve engaging key stakeholders, partners and communities in the grant program and all aspects of grant administration.
The Coordinator will help to fulfill a key need by implementing a funding program to award grants to support local communities, municipalities, Indigenous communities and land managers in the management of invasive species. This will involve coordinating the implementation and reporting of the granting program. An ideal candidate would be a highly organised, tech-savvy, self-starter with a passion for the environment and knowledge of granting and administrative processes. They would have direct experience negotiating and managing a large quantity of contracts concurrently.

Principal Accountabilities
Coordinate the development, organization, and implementation of a granting program for invasive species
Organize and implement all aspects of invasive species granting program implementation including: providing information, refining applicant package and other materials, launching call for proposals, responding to applicant inquiries, coordinating a subject matter expert review of applications, notifying applicants, developing agreements, tracking budgets, invoicing, communications, ensuring administrative and financial controls, reviewing progress and final grant reports, developing summaries, reporting to funders
Organise and deliver presentations and meetings with partners in-person and virtually to clarify projects and grants
Respond to written and oral inquiries on granting program
Maintain a partner and grant database
Track activities and budgets by using performance indicators and providing monthly and final reports
Organize communications of grant application process, successful projects and outcomes
Contribute to ISC communication tools and products including newsletter articles, presentations, webinars, website content, social media content and media releases
Support delivery of outreach and education at events and attending partner events
Identify new opportunities to improve partner relationships and grant process
Other duties as assigned

Minimum Qualifications
The successful candidate will be a university or college graduate or have equivalent experience in fields such as project management, business administration, non-profit management or other related fields. They will have a minimum of 3 years of professional experience in principal accountabilities associated with this role.

Preferred Qualifications
Possess a Bachelors’ degree or equivalent additional certification in business administration, granting, paralegal, fundraising, natural resources, environmental sciences, geography, and/or social sciences
Additional educational credentials and/or experience in grant management, budgeting, administration and project management would be an asset

Minimum Competencies
The successful candidate will have strong:
Organisational skills: ability to quickly design and implement programs and processes, communicate with team, track grants throughout granting cycle, respond to requests in a timely way
Project Management skills: Ability to use software to create, manage and track projects, keeping activities on time and on budget
Grant Management skills: Knowledge of, or interest in learning the process of giving grants
Administrative skills: Knowledge of office procedures, knowledge of or willingness to learn invoicing, tracking expenses, solid math skills
Oral, written, and visual communication skills: The ability to express themselves clearly in conversations and interactions with others, through writing, speaking, and images
Technical and data management expertise: computer proficiency and experience with Microsoft Office software especially Excel, Adobe Acrobat, social media, email marketing, and survey applications
Knowledge of invasive species: Working general knowledge of environmental science and invasive species considered an asset
Teamwork skills: Have a can-do and optimistic outlook, help to set a tone of cooperation within the work group and across groups; coordinate own work with others, demonstrate concern for satisfying external and/or internal customers, respond positively to instructions, procedures, and feedback
Time management and flexibility skills: manage multiple projects; determine project urgency in a practical way; create detailed action plans and budgets, adapt well to changing priorities, deadlines, and directions
Initiative: identifying what needs to be done and doing it before being asked or before the situation requires it; plan work and carry out tasks without detailed instructions
Thoroughness and attention to detail: ensuring that work and information are complete and accurate; following up with others to ensure that commitments have been fulfilled, maintaining high professional standards and considering excellence and continuous learning a fundamental priority

Other Requirements
The candidate must be legally entitled to work according to the relevant provincial legislation and regulations
Bilingual in French, English, and/or Indigenous languages would be an asset
Must work within standard business hours and occasionally evening and weekends depending on work requirements
Willingness to travel as required (estimated 2 overnight trips per quarter)
The candidate will need to comply with all ISC policies
Ability to start position immediately
