Financial & Administrative Assistant – Mississippi Madawaska Land Trust – Ontario

RESPONSIBILITIES
FINANCE & DATA INPUT
to maintain financial records in Sage including:
processing invoices and payments as authorized by the ED;
preparing the weekly bank deposit;
reconciling the bank account on a monthly basis;
maintaining and reconciling the General Ledger;
maintaining the chart of accounts;
to provide a monthly reconciliation report to the MMLT Treasurer;
to maintain the filing system for all financial records;
to assist the Treasurer and ED with the preparation of the annual budget;
to process all donations and prepare bank deposits;
to coordinate and monitor all online donation and fundraising platforms, specifically the Sage finance and Basic Funder fundraising software;
to ensure tax receipts, acknowledgement letters, and thank you messages are generated in a timely manner in accordance with current MMLT design and message practices.

ADMINISTRATIVE AND RELATED
to assist the ED in the processing of workflow and documentation development;
to compose routine correspondence, reports, and minutes;
to proofread and format a variety of documents;
to schedule appointments and in-person and Zoom meetings;
to manage the availability of meeting rooms;
to order office supplies as required;
to respond to telephone and email inquiries from MMLT members by screening phone calls, taking messages and redirecting inquiries to the appropriate person as well as providing basic information as required;
to attend monthly and special board meetings for the purpose of minute taking;
to participate in training as directed by the ED;
to participate at staff meetings and other activities/meetings as requested by the ED;
to participate in the Annual General Meeting for the purpose of minute taking.
to perform other duties as related to the FAA role and as directed by the ED.

REQUIRED EXPERIENCE, RELATED SKILLS & PERSONAL QUALITIES
excellent written and verbal communication skills;
through knowledge of basic accounting principles and practices with a minimum of 2 years experience and minimum college diploma in accounting;
sound knowledge of automated bookkeeping and accounting systems and software with strong preference for experience in Sage;
experience with automated payroll software system an asset;
experience working with fundraising databases, (Basic Funder, Raiser’s Edge);
demonstrated evidence of careful attention to details and accuracy in data input and record keeping;
exceptional computer confidence and capabilities, especially with Microsoft Office including Word, and Excel;
team player with good interpersonal skills;
committed to working cooperatively in a community-based setting as part of an inter-disciplinary team in-person at the MMLT offices.
Candidate must have reliable transportation.
Wages: Commensurate with experience
