The Executive Secretary is responsible for a wide variety of office duties in support of the Federation and all of the levels that report to the Federation. The federation office is the hub of the organization. This position entails 24-30 hours per week, Mon- Fri. The position is required from mid-August until the end of June annually. Additionally, one Saturday per month and one full weekend annually each April is required for meetings. The candidate must be able to work under limited supervision and have a self-starting attitude. The candidate must have excellent computer and organizational skills, as well as strong communication skills (both written and oral).
Job Duties:
Respond to telephone and e-mail inquiries from members in Ontario
Update the Executive and Board of Directors as needed
Update Membership Database and report to the Executive/Board of Directors and to the Liability Insurance Insuring Company
Take Minutes at monthly Executive/Board meetings and distribute in a timely manner
Schedule and organize all monthly meetings and prepare materials needed at monthly meetings
Preparing monthly mailings to Members
Perform general banking duties
Update the website regularly; back up computer files regularly
Write letters and reports as necessary
Receive and send mail as necessary
Order offices supplies as necessary
Organize, maintain, and co-ordinate office records and files in their proper locations
Prepare records for annual audit
Where necessary, assist in the compilation of data for various reports
Arrange and book meeting rooms/hotels as needed
Ensure all forms, reports, contracts, registrations are completed as needed.
Maintain the office in a tidy and presentable manner
Any other duties as requested by the Board of Managers
Requirements:
Strong knowledge of general office procedures
Strong knowledge of Word, Excel, Publisher, QuickBooks,
Strong organizational skills
Basic accounting and mathematical skills
Basic knowledge of charitable organizations
Strong customer service skills.
Strong computer skills
Ability to write correspondence; including emails, letters, reports, minutes, etc.
Strong written and verbal skills to communicate with all levels of the organization and its executive team.
