Executive Assistant to the Director of Programs and Services

Reporting to the Director of Programs and Services, this position is responsible for providing executive level administrative support to the Programs and Services Department. The Executive Assistant provides leadership to, and is specifically responsible for, the coordination of the administrative functions of the department. The Executive Assistant will supervise staff; provide administrative support for meetings and committees; and maintain effective communication with schools, Board members, parents/guardians, the Nova Scotia Department of Education and Early Childhood Development and partner agencies. The Executive Assistant will create, analyze and review reports and presentations from various sources to support the data requirements of the organization. The Executive Assistant will participate with the Regional Executive Assistant Team to implement and support various initiatives. The successful applicant will have demonstrated experience and confidence to provide administrative support to an executive office along with strong communication, diplomacy, analytical skills, collaboration, organization and leadership skills. A high degree of initiative, accountability, confidentiality, and the ability to work independently are necessary.
Specifically, this position has the following preferred requirements:
Post-secondary training in office administration or a related field
Minimum of five years experience in an executive administrative position
Superior secretarial skills including accuracy and effective proof reading
Excellent written and oral communication abilities
Demonstrated ability managing an office and supervising staff
Advanced knowledge of organizing, manipulating, and analyzing large amounts of data
A high level of proficiency with computer software, including word processing, spreadsheets, databases, desktop publishing, presentation software, and internet
Ability to multi-task while prioritizing work with many competing priorities
Sensitivity to the issues of confidentiality while assisting with the provision of information to stakeholders
Experience in the planning and organizing of functions, meetings and in-services
Recording and transcription of accurate meeting minutes
Read, analyze and prepare responses to incoming requests, submissions, and reports in order of their significance
Draft memos, letters, agendas and plan the distribution of such, upon request
Excellent file management skills.
