Position Concept
As an Executive Administrative Assistant and Ambassador on our team, you will play the most critical role by fulfilling our company’s purpose and promise to our business customers. Provide professional support for a wide range of office activities and administrative tasks for multiple managers in the organization. The individual in this position must deal with highly confidential information, must be able to multi-task, work with limited supervision and exercise independent judgment. Must comply to defined policies and procedures, analyze data, information and situations, and make judgments to facilitate outcomes. Possess strong organizational and interpersonal skills, and the ability to manage competing demands in a professional manner.
Major Responsibilities
Responsibilities include but are not limited to assisting the management team in day-to-day general office duties:
Responsible for ensuring day-to-day communication from Leadership is directed to the appropriate Associates, maintaining Associate information.
Coordinates and is responsible for the preparation of correspondence, reports, manuals, presentations and data as required by the position; performs administrative research as required
Regularly updates and maintains Associate attendance records, vacation requests, personal days and overtime
Prepares and initiates contract billing and provides supporting documentation
Perform Data collection, Data Entry and Quality monitoring activities, as applicable.
Prepare and mail all Canada Post/UPS/Fed Ex packages.
Sort and distribute incoming mail.
Oversee all aspects of orders including inventory and maintenance of inventory
Oversee all administrative aspects of seminars including registrations, confirmations, certificates, badges & evaluations, preparation and mailing of materials to seminar sight.
Filing of materials in general files area
Assist with bookkeeping/accounting functions as appropriate.
Attending meetings and recording minutes
Sales Team Support – Project / WIP Tool Updates/ Schedules
Reception Duties
Provide back-up in other departments during employee absences.
May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required
Resolves problems in area of responsibility through effective listening, analysis and interaction and follows issues to resolution
Routinely may interact with internal customers (employees, children, families) and external contacts (vendors, regulators, visitors), and represents the agency with professionalism, tact and cultural sensitivity
• Compiles data for analysis and reporting, and may perform routine analyses.
Perform other duties as directed and deemed necessary.
Qualifications
Candidate Education:
Minimum High School Diploma / (GED) / Secondary School GCSE or equivalent
Preferred Associate Degree / College Diploma /Cegep / A Levels
Candidate Background: Skills, Knowledge & Ability:
Minimum: 5 years’ administrative experience in a general office, in expense control, or in human resource administration
Data Entry skills, with a Typing speed of at least 45-50 WPM
Possess sound business ethics and show consistency between principles, values and behaviors
Experience in extreme multi-tasking and prioritization a must.
High Level of proficiency in MS Office Suite, including Word, Excel, Outlook
General PC knowledge.
Basic knowledge of accounting/bookkeeping.
Proven experience consulting with senior management staff.
Excellent written, verbal, and interpersonal communication skills.
Excellent organizational skills
Ability to work independently and in a team environment
Experience with calendar management, event planning and travel arrangement
