Conference Coordinator – Columbia Institute

Responsibilities
The Conference Coordinator will be integral to delivering Columbia Institute’s upcoming Civic Governance spring conference, to be held at the end of March.

Reporting to the Management Team, the Conference Coordinator will:
Research and update CI’s contact management database;
Support program development;
Set up meetings with management team and prepare related minutes;
Help set up and manage registration;
Liaise with speakers and participants on their workshops, presentations, and information;
Facilitate youth delegation application review, admission, and registration;
Support volunteer recruitment and plan;
Create content for, edit, and disseminate conference communications materials;
Recruit and co-ordinate event speakers, volunteers, and students;
Prepare running script / event order and oversee and manage execution of event;
Prepare content for and update MailChimp blasts, website, and social media;
Facilitate conference evaluation among participants and management team;
Oversee logistics, including ordering supplies and gifts/tokens for moderators/speakers;
Prepare final report; and,
Perform other work-related tasks assigned from time to time.
The position may also include other miscellaneous responsibilities outside the conference.

Qualifications
The successful candidate will have most of the following qualities and experience:
Work experience in a relevant field;
Demonstrated ability to organize multiple tasks, set priorities, meet deadlines, work independently, and perform under the pressure of time constraints;
Ability to maintain a positive, responsive attitude, and work collaboratively with remote team;
Strong written and oral communication skills, diplomacy, and tact;
Expertise in Zoom and/or conference platforms, event registration platforms, MailChimp, WordPress, social media, Microsoft Office, Adobe Professional and InDesign;
Awareness of emerging public policy and social justice issues;
Knowledge of roles and responsibilities of school boards and municipal, provincial, and federal government an asset.
This is a contract position based in Vancouver, working remotely and/or in-office pending COVID-19 guidelines and office protocol.
We will pay the Vancouver living wage of $20.91/hour or a salary commensurate with experience. The position may involve overtime and working outside of 8:30am to 4:30pm office hours.
