Auxiliary (3 days)

The City of Coquitlam is seeking a Committee Clerk to assist the City Clerk’s Office.  This work will include providing specialized meeting and administrative support services to Council and its Committees and Boards.  This involves coordinating meeting arrangements, preparing agendas and supporting materials, and taking, editing and distributing minutes of meetings. In addition, the role at times will involve advising on procedural matters during such meetings and the needed follow up on actions and decisions of Council and Committees as appropriate.

This position provides a variety of information and assistance to the public, staff and elected officials, drafts routine and non-routine correspondence and prepares and maintains a variety of records and files. Additionally, you will assist with the annual Committee volunteer recruitment process and annual volunteer recognition event.

The ideal candidate will possess a working understanding of municipal government procedures coupled with the ability to interpret senior government legislation, establish and maintain effective working relationships, work effectively as a team member, work calmly under pressure, and manage multiple activities to completion under tight deadlines. Excellent written and verbal skills with a strong knowledge of business English – including sentence structure, grammar and punctuation is required, as is an understanding of the functions/objectives of committees and boards and of the procedures used in meetings.

Along with possessing a post-secondary degree in a related discipline and/or certificate in local government or public administration, you have relevant work experience, preferably within a local government setting or a combination of relevant training and experience.  The work hours will vary throughout the week depending on the work and will include evenings.
