Administrative Assistant – Halifax – Foundation for a Mindful Society

The leading media brand in North America promoting mindfulness and related practices for health and well-being seeks an administrative assistant to help with the smooth and efficient day-to-day operation of this dynamic start-up. The administrative assistant reports to the deputy editor and art director, and areas of responsibility will include:

Working with the deputy editor and art department to facilitate the tracking of content and management of deadlines, by regularly updating project management software, for both print and digital editions.
Working with advertising department to ensure smooth flow of ad content.
Responding to customer service e-mails and sending out and tracking responses to surveys.
Interfacing with accounting to ensure regular payment of contributors and proper filing of contracts
Preparing PDFs and post-press files, and archiving content at end of production cycle and in preparation for next cycle.
Assisting in marketing effort upon publication of new issue.
Providing administrative support to departmental members and coordinating departmental and office-wide activities.

Qualifications
Demonstrated experience in office administration
Up-to-date computer and web skills, adaptability to learning new programs and systems
Excellent communication skills
Proven ability to organize, manage multiple tasks, and prioritize
Eagerness to work in a team-driven environment
