Administrative Assistant – Dr Kathy Hubley Carruthers Counselling & Psychological Services – Halifax City

  Summary:

Dr. Hubley Carruthers Counselling & Psychological Services is looking for an energetic team player for the position of Administrative Assistant to cover a 12 month maternity leave beginning May 2015.

The job offering is currently for 25 hours/week, but additional hours may be required throughout the duration of the Contract.

The Administrative Assistant performs all daily reception and administration tasks as well as all other tasks to maintain the daily function of the practice.

Duties include but are not limited to:

Answering the office phone;
Addressing all client inquiries, bookings, and follow up questions  for six (6) psychologists, as appropriate;
Responding to emails, and emailing inquiries;
Invoicing, account receivables, third party billing and collection of money;
Minor IT trouble shooting and problem solving;
Collecting demographic information and creating all files for new clients while also maintaining existing client database files;
Working independently, with minimal support, with the ability to trouble shoot situations as they arise;
Gathering sensitive /confidential information from clients  while keeping good boundaries;
Completing general administrative duties such as, answering phones, emailing, faxing, file coping, filing, ordering supplies, processing mail, petty cash, and additional administrative work, as required.

Successful Candidate will possess the following qualifications:

Post-secondary education in office administration, office management or equivalent (in education and/or experience);
Prior experience (and commendable references) in office administration or equivalent;
Strong computer skills and working knowledge of both Microsoft Office and Simply Accounting;
Expertise in scheduling (electronic);
Experience using Google products including Gmail, and Google Calendars;
The ability to handle emergency situations and follow proper administrative procedures;
The ability to work under pressure in a fast paced environment;
The ability to work independently as well as in a team environment;
Excellent interpersonal and communication skills, both written and oral;
The ability to coordinate daily tasks and ongoing projects effectively and efficiently;
The ability to work with confidential information discretely and professionally;
Outstanding organizational and time-management skills;
Experience with accounts payable and receivable; experience working with Simply Accounting preferred.
