Position: Administrative Assistant – Human Resources (HR)

Reports to: Director, Human Resources
Responsible for: Providing administrative/clerical support to Human Resources
Working Hours: Monday to Friday 0800 – 1600 hours with some overtime and travel throughout the province required

Duties and Responsibilities:
Duties include but are not limited to:
Providing the Director, HR, Safety and Investigation Managers with administrative support
Drafting correspondence for the signature of the Director and Managers within the HR department
Developing and maintaining a file management system adhering to an established record retention schedule
Ensuring confidential files are maintained and protected
Booking and coordinating meetings including making room reservations
Managing the updates to collective agreements ensuring all amendments have been documented
Maintain contact with employees on sick leave
Administer discount programs
Managing the recruitment referral program
Managing the grievance, investigations and negotiations files
Acting as the administrator and quality assurance authority for the scanning of personnel files
Developing presentations for delivery by Director and/or Managers
Formatting and editing of documents and publications
Managing telephone inquiries
Scribing minutes for in person and conference call meetings
Managing the academic upgrading
Managing the leave processes for Headquarters staff
Managing the bereavement leave process for CNS
Providing administrative support for other departments as required
Backfilling in the Administration Office as required
Assisting the Director and/or Managers with internal competition processes
Qualifications and Skills Requirements:
The incumbent must possess the following qualifications, skills, and attributes:
Successful completion of an Administrative Assistant diploma/certificate with a minimum three year experience or an acceptable equivalent of education and experience
Experience as a Human Resources or Legal Assistant
Proven customer service skills
Ability to maintain a high degree of confidentiality
Demonstrated communication and collaboration skills involving individuals from diverse backgrounds
Strong organizational skills and a proven track record in establishing priorities and meeting deadlines
Strong computer skills and aptitude in software such as Microsoft Office including Word, Excel, PowerPoint and Access
Demonstrated professionalism and sound judgment
An ability to multi task while producing quality work with a strong attention to detail, grammar and spelling
Excellent problem solving and interpersonal skills
An ability to be flexible and adaptive in a changing environment
