Altus Group has an immediate opening for an Administrative Assistant within our Shared Services in Vancouver, BC.
Reporting directly to the Office Manager, the Administrative Assistant will provide administrative support to the office to ensure daily operations run smoothly, and be responsible for representing the organization and team by projecting a positive and professional image at all times and ensuring our valued clients receive the highest level of customer service.
Job Responsibilities:
Providing superior support to all Altus Group employees, clients, suppliers and the public by responding professionally and promptly to all questions, inquiries and requests;
Managing incoming calls;
Sending, receiving and distributing mail and faxes, and working with couriers;
Ordering all office supplies;
Updating calendar for meetings, booking boardrooms and preparing boardroom for meetings;
Ordering food and beverages and cleaning up after the meetings;
Maintaining a clean and professional office image by ensuring all boardrooms, kitchens and common rooms are effectively organized and maintained;
Coordinating travel and hotel arrangements for staff;
Maintaining files;
Assisting with:
Equipment set up for new employees;
Updating all phone extensions, cell phones and email addresses;
Report preparation (typing, photocopying, binding, printing, burning, scanning, etc.)
Recording and updating drawing lists and existing drawings on a regular basis;
Providing accounting support to the head office;
Assisting senior management with personal reimbursements;
Providing regular back-up to the rest of the administration team;
Performing other duties as required.
Job Requirements:
The preferred candidate will possess the following skills and attributes:
High School Diploma; college diploma in administration is preferred;
2-3 years of relevant work experience in a professional office;
Intermediate skills in working with Word, Excel, Access, Power Point and Outlook;
Knowledge of SharePoint will be considered an asset;
Ability to:
Work flexible hours when required;
Multi-task and prioritize;
Demonstrate initiative and be resourceful;
Work independently and as a part of a team;
Deal with confidential information.
Excellent interpersonal and communication skills (written and oral);
Strong time management skills;
