Special Event Coordinator – The Riverwood Conservancy – Mississauga, Ontario

The Riverwood Conservancy is a volunteer-based charity that provides programs to the community in environmental education, natural areas stewardship and gardening. Located at Riverwood park in central Mississauga, we are looking for a Special Event Coordinator to manage the Riverwood Garden Soirée, our July 2016 annual fundraiser, supported by staff and a volunteer team. This is a 28 hours per week paid staff position.

Responsibilities

Lead the organization and delivery of the Riverwood Garden Soirée;
Manage all aspects of event planning, including sponsorship tracking; venue management; apply for and obtain permits and raffle licence supported by the Office Manager; guest and RSVP lists; food and beverage vendors; supplies; audiovisual equipment; tent and furniture rentals; table and chair layout; décor;
Collaborate with the Development Officer (the Soirée Chair) and Fund Development Committee to secure event sponsorship, including preparation and completion of sponsor and vendor agreements;
Work with the Volunteer Coordinator to guide all aspects of event volunteer responsibilities; identify roles for volunteers on the Special Events Committee and others; communications; tracking hours; orientation and training;
Collaborate with the Marketing Coordinator to design and distribute marketing and pre-marketing materials (e.g. Save the dates, tickets and Event Program) including social media Facebook, twitter and Instagram; obtain logos of event sponsors for sponsor recognition; coordinate website and event microsite;
Coordinate and assist with set-up, on-site production and clean-up;
Coordinate with the Comptroller and Executive Director to manage budget, quotes, invoices, cheque requests;
Produce an event wrap-up report;
Other event duties as assigned.

Qualifications

Demonstrated 3 to 5 years of experience organizing and delivering large fundraising events on time and with limited budget;
Alignment and passion for The Riverwood Conservancy commitment to nature, education and gardens;
Excellent communication and analytical skills;
Ability to multi-task and manage several project aspects with competing deadlines;
Demonstrated experience working with volunteers;
Diplomatic, tactful, confident, assertive, enthusiastic and a team player;
Proficient in MS Office, Adobe InDesign, Publisher, Photoshop, social media in Facebook, twitter, Instagram, website management
