Project Administrator / Accounting Assistant – Bird Construction – Halifax City

Bird Construction Company is one of the top 10 Construction General Contractors in Canada. We are seeking a project coordinator for a 6 month contract position  with the possibility of becoming full-time, permanent, to work on a commercial/retail project from our Halifax office.

As a member of the Administrative team you will work closely with the Project Management team and Administrative group in a support role to ensure that the administrative aspects of current projects are performed accurately and in a timely manner.

Primary responsibilities include, but are not limited to:

Establish and maintain a project contact list
Project start up documents and document control
Preparation of prime contracts, Subcontracts and submittals
Administer shop drawings and manage control log
Prepare meeting minutes and other correspondence for distribution
Manage FTP sites, upload & download to and from the sites, print drawings from sites as needed
Creating and filing job files – electronic and hard copies
Provide documentation to subcontractors
Provide administrative support to the Accounting dept as required
Project close out, create and issue O&M Manuals in a timely manner
Communication with owners, owners reps and subcontractors
Logistic support to Project Management team (PM’s, Coordinators and Supers)
Scanning drawings for electronic storage
Support to Design Group in proposals and RFP’s as needed
Support to Estimating team as required
Booking travel
Front desk reception as needed
Provide other administrative office support as required

Qualifications

Successful candidates should have an Office Administration diploma or equivalent experience.
You are a motivated and confident individual with excellent verbal and written communication skills.
Proficiency in MS Office is required as well as you must be familiar with FTP sites (Sharepoint).  Knowledge of other software applications such as InDesign and ViewPoint would be an asset.
Your organization and time-management skills allow you to multi-task and meet deadlines.
You are able to work well with others in a team environment and contribute to the Administrative team in an efficient, effective and positive manner.
