Finance & Operations Coordinator – Efficiency Canada – Ottawa

About the Role
We are looking for an organized and adaptable finance and operations generalist to contribute to the growing team and mission of Efficiency Canada by providing administrative and financial coordination. Reporting to the Operations Lead and working with relevant Carleton University departments, the coordinator will be responsible for managing administrative aspects of the research organization. The Finance & Operations Coordinator will additionally be responsible for working with the Efficiency Canada team to support their policy, communications, and engagement outputs.

Specific Duties
Administration of financial activities of Efficiency Canada including liaising with University partners in Accounts Payables/Receivables, Research Finance, and Advancement
Supports fund reporting by working on reconciliation of research funds and assisting on updating or adjusting internal cashflow projections
Preparing and submitting expenses, in addition, ensuring that the team understands process and protocol for eligibility
Preparing and submitting invoices adhering to Research Finance guidelines
Coordinate with external vendors and support procurement requests
Maintain a schedule of dates related to contracts, fund reporting, and other ongoing activities with which Efficiency Canada must comply
Supports recruitment process for Efficiency Canada team by coordinating postings and managing applicant pools and communication with applicants
Manage the general inbox for all public Efficiency Canada inquiries, answering correspondence, and/or connecting issues to relevant team members for elaboration
Supporting Efficiency Canada internal and external meeting coordination including travel arrangements and ensuring the team understands eligibility and guidelines per University policies
Supports the Governing Council with meeting coordination in addition to governance-related tasks such as minutes, follow-up on meeting actions, and document sharing
Contributes to and supports the Equity, Diversity and Inclusion Initiatives and Committee in addition to helping to foster a safe and equitable place to work.

Qualifications
2-3 years’ of experience working in an administrative and financial capacity, preferably within a University setting.
A relevant diploma/degree in Business Administration, or equivalent experiences.
Strong organizational and administrative skills with an ability to prioritize tasks and make sound judgement.
Excellent attention to detail, especially in analyzing and parsing numerical and financial data.
Strong problem-solving abilities, and a solutions-orientation.
Strong interpersonal skills with an ability and desire to collaborate cross-functionally across teams.
Ability to work independently in a dynamic and creative environment with some ambiguity, balanced with a collaborative approach to ask questions and support when needed.
Proficiency and comfort with virtual office and collaboration tools including: Slack, Trello, O365, Google Workspace, Dropbox.

Nice to have:
Knowledge of university research financial systems.
Knowledge of basic accounting principles.
Experience with grants and research administration.

Compensation & Benefits
The annual target salary for this position is $55,000.
