Finance and Operations Manager – Earth Day Canada (1991) Inc.

Position Summary
Reporting to the President of Earth Day Canada, the Finance and Operations Manager is responsible for the day-to-day financial and operational administration of EDC, and for providing support to the board of directors. This contract is initially for 6 months, with the possibility of extension.

Responsibilities
Financial management
process accounts payable; prepare cheques and online payments; maintain petty cash fund
issue invoices for accounts receivable; receive and deposit payments
process payroll and ensure that all statutory payroll obligations are met;
maintain financial records; prepare budgeting, cash flow and forecasting reports, and financial reports for management and board of directors using QuickBooks
assist senior management team with budgeting and financial reports for funders
issue charitable donation receipts and ensure that the annual charity return is prepared and submitted
work with the external auditor to facilitate the annual financial audit process

Office administration
promote organizational effectiveness by helping maintain a well-organized, functional workspace
work with staff to foster a safe, healthy, collaborative and supportive office culture
facilitate internal communications and the development of effective policies and procedures
respond to general inquiries by telephone and email
order equipment and supplies as required
liaise with landlord, insurance company, and service providers
contract management (e.g. funding, partnership, and service agreements)
HR administration
maintain staff HR files and assist in drafting job postings, position descriptions, and employment contracts
ensure that HR practices comply with applicable legislation and that HR policies are kept up to date
administer the group benefits plan for permanent staff

Board support
assist the President in preparing agendas and information packages in advance of board meetings
serve as recording secretary at board meetings
maintain corporate records and ensure that reports are filed in a timely matter as required by legislation
